Create and send an email campaign
An email campaign is a one-time email you send yourself to a list of patients, such as a monthly special, a new service announcement, or a holiday promotion. This article walks through creating, testing, and sending one.

Before you start
- You need a list of patients who have opted in to receive email. Every Dewy account includes your synced patient lists, so most practices already have what they need.
- Campaigns cannot be edited or recalled after they are sent. Test first.
Step 1: Create the campaign
- In your Dewy account, click Email in the left menu.
- Click Start from scratch instead. (You can also create a campaign from the Calendar tab.)
- Give the campaign a name. This is internal only and is not shown to patients, but a clear name makes reporting easier later, for example "October Botox Special."
- Select the campaign type. For a one-time send, choose Standard.
- Click Next.
Step 2: Complete the campaign summary
You can fill these in before or after you design the email.
Required
- Subject line: the first thing patients see. Keep it short, specific, and written the way you would say it. Personalization such as the patient's first name is supported.
- From name: usually your practice name, or a provider's name if the email is from them.
- From email: the address the email is sent from. Use the address we configured during onboarding so deliverability stays high.
- Reply-to: defaults to the From email. Uncheck Use this email as my reply-to address to route replies to your front desk instead.
- List: select one or more lists to send to.
Choosing who receives it
- Click Calculate recipients to see how many patients will be included.
- Under Send to, choose:
- All active subscribers of the selected lists (default)
- Segments: a saved group, such as patients who have had a specific service
- Tag: patients with a specific tag
- Custom conditions: build a one-time filter, for example patients seen in the last 12 months who have not booked a follow-up
Optional
- Preheader text: the preview line shown after the subject in the inbox.
- Schedule: send now or pick a future date and time.
- Open and link tracking: on by default. This is how your reporting knows who opened and clicked.
- Reply tracking: records replies against the patient's contact record.
- Google Analytics: adds tracking parameters to links so website visits from this email show up in your analytics.
- Physical mailing address: required by law on every marketing email. Select your practice address.
Step 3: Choose how to build the email
Select Create with email designer (recommended). This is the drag-and-drop builder and includes an AI text block for drafting copy. Other options are plain text (no open tracking), custom HTML, and the classic designer.
Click Create with email designer.
Step 4: Pick a template
- Choose a starting layout, or
- Reuse a past campaign as a template, or
- Start from a blank canvas
Hover over a template and click Select. Your Dewy account includes branded templates built during onboarding. Start from one of those so the email matches your funnels.
Step 5: Design the email
Add or edit blocks for text, images, buttons, and spacing. Use personalization tags to insert the patient's name. Every button and link should point to one clear action, such as booking online or calling the practice.
When finished, click Save and exit or Next.
Step 6: Review the summary
Confirm:
- Subject line, preheader, and sender details
- The list and recipient count
- Schedule, if you set one
- The desktop preview looks right
- Spam check shows Passed
To change the design or campaign type, click the design preview or the campaign type icon in the top left.
Step 7: Send a test
Click Send test email and send it to yourself and one other person. On the test, check:
- Every link opens the correct page
- Personalization renders correctly (no blank name fields)
- The email looks right on a phone, not just a desktop
Step 8: Send or schedule
- To send immediately, click Send Now and confirm. The confirmation shows the number of patients receiving it.
- To schedule, scroll to Schedule, toggle it On, select the date and time, and click Finish.
Reminder: once sent, a campaign cannot be edited or undone.
Step 9: Track delivery
- Click Email in the left menu.
- Click List view.
- Find your campaign and check the Send status and date column.
- Click View details to see delivery progress. Detailed progress is available for 30 days after sending.
After sending
On the confirmation page you can:
- View the campaign report: opens, clicks, replies, and unsubscribes.
- Automate the campaign: creates an automated follow-up that starts when a patient opens this email. Most practices leave this to their Dewy nurturing funnels.
