Segments: Grouping Contacts by Conditions

A segment is a saved set of conditions that selects contacts. Dewy evaluates the conditions each time the segment is used, so membership updates automatically as contact data changes. A segment is not a copy of contacts; it is a filter.

What segments are used for

  • Campaign recipients. Send an email or SMS campaign only to contacts who match, for example patients seen in the last 12 months who have not booked a follow-up.
  • Automation triggers and branches. Start a sequence, or choose a path inside one, based on segment conditions.
  • Contact list filters. View and export a group of contacts from the Contacts page.
  • Reporting. Count how many contacts match a definition, for example all leads tagged facebook-leadads-integration  created this month.

How a condition is built

Every condition has three parts, left to right:

  1. Condition: the data point. Examples: Tag, Email, Custom field, Has opened campaign, Has clicked link, Date created, Deal stage, List status.
  2. Operator: how to compare. Examples: is, is not, contains, is greater than, is before, is after, exists, does not exist.
  3. Value: what to compare against. Free text, a date, or a selection from a dropdown.

Example: Tag | exists | botox-interest.

Condition categories

  • Contact details: name, email, phone, list status, date created, tags, custom fields.
  • Actions: opened, clicked, replied, forwarded, unsubscribed, submitted a form. Up to 5 action conditions per segment.
  • Geography: city, state, zip, country.
  • Site and event data: pages visited, events tracked.
  • Deals: pipeline, stage, status, value, owner.
  • Accounts and attribution: account name, UTM source, first and last touch.

AND and OR

  • AND: a contact must match every condition in the group.
  • OR: a contact must match at least one condition in the group.
  • A single condition group uses either AND or OR, not both. To mix them, add a second condition group. Groups are combined with AND or OR at the group level.
  • Example: Group 1 (AND): tag botox-interest  exists AND date created is after 2026-01-01. Group 2 (OR): opened campaign in last 30 days OR clicked link in last 30 days.

Create and save a segment

  1. Click Contacts in the left menu.
  2. Click Segments.
  3. Click Start from scratch instead.
  4. Enter a segment name and a short description.
  5. Click Build with segment conditions.
  6. Click the left field to choose a condition, the middle field to choose an operator, and the right field to enter a value.
  7. Click Add condition to add more. Click Add condition group to mix AND and OR.
  8. Check the contact count shown next to the segment.
  9. Click Save.

Segments can also be saved from Contacts, then Advanced Search (Save as Segment), and from the campaign summary page when choosing recipients.

Use a saved segment

  • In a campaign: on the campaign summary page, under Send to, choose Segment and pick the saved segment. Click Calculate recipients to confirm the count.
  • In Contacts: open Segments and click the segment name to view matching contacts.
  • In an automation: Dewy builds automations for you. Ask through the help bubble if a sequence should start from or branch on a segment.

Limits and behavior

  • Maximum 20 conditions per segment; maximum 5 action conditions; maximum 3 conditions using the contains operator.
  • Segment membership is calculated at send time. A contact who matches when you schedule but not when the campaign sends will not receive it.
  • A segment never overrides subscription status. Unsubscribed contacts are excluded from campaigns even if they match.
  • Edit a saved segment from Contacts, then Segments. Changes apply everywhere the segment is used.

Naming

  • Name segments by their rule, not their purpose. Seen in last 12 months, no follow-up booked is better than October promo list.
  • Put the practice-defined tag in the name when the segment depends on one.
