Contacts: What They Are and How They Get Into Dewy
A contact is one unique person in your Dewy account: a lead, a patient, or a client. Every email, text, appointment, tag, and deal in Dewy is attached to a contact record.
What a contact record holds
- Identity: first name, last name, email address, mobile phone.
- Status: subscribed or unsubscribed, per list. Only subscribed contacts receive email. Only contacts with SMS consent receive texts.
- Tags: short labels such as
facebook-leadads-integrationorbotox-interest. Tags record where a contact came from and what they asked about. - Custom fields: data specific to your practice, such as service interest, EMR patient ID, last appointment date, or GCLID.
- Timeline: every email sent and opened, every text sent and received, every form submitted, every automation entered, every deal created, in date order.
- Deals: the revenue opportunities attached to this person. See Contacts vs. Deals.
How contacts get into Dewy
Contacts are created automatically from connected sources. Manual entry is the exception.
- Website forms. A form on your site that is connected to Dewy creates or updates a contact on submit. Field values map to contact fields. The form applies a source tag.
- Landing pages. A Dewy landing page with a form works the same way as a website form.
- Facebook and Instagram Lead Ads. Lead form submissions are sent to Dewy in real time. Each lead gets an integration tag and a form-name tag. See Connect Facebook Lead Ads to Dewy.
- Google Ads. Google Ads traffic lands on your site and submits a form. The form captures the GCLID so the contact can be matched back to the ad click. See Sending Offline Conversions to Google Ads.
- EMR or scheduling system. Patients in ModMed, Zenoti, DrChrono, or Meevo sync into Dewy on a schedule. The sync creates new contacts and updates existing ones with appointment dates, procedure codes, and invoice data. See ModMed and Zenoti setup guides.
- Lead marketplaces. RealSelf inquiries arrive by email and are parsed into contacts. See RealSelf.
- Other integrations. Zapier or Keragon workflows can create contacts from any system that does not have a direct connection.
- Manual entry. Contacts, then Add a contact. Use this for phone inquiries and walk-ins. Only add people who agreed to be contacted.
How duplicates are handled
- Email address is the primary match key. A new submission with an existing email updates that contact instead of creating a second one.
- EMR syncs also match on patient ID and phone where available.
- A contact with a different email than the one in your EMR can create a duplicate. Merge duplicates from the contact record: Actions, then Merge.
What happens after a contact is created
- The source tag triggers the matching automation. The contact enters a nurture sequence within minutes.
- Dewy creates a deal in the pipeline when the source indicates a revenue opportunity (a consult request, for example). See Managing Deals in the Pipeline.
- Every later action (open, click, reply, booking) is written to the timeline.
Finding a contact
- Click Contacts in the left menu.
- Type a name, email, or phone number in the search box.
- Open the record to see the timeline, tags, fields, and deals.
Stopping messages to a contact
- Email: on the contact record, set the list status to Unsubscribed.
- SMS: the contact replies STOP. Dewy records the opt-out automatically.
- Do not delete the contact. Deletion removes the history, and the next EMR sync recreates the record.
